Vacancy Announcement: Assistant to the Ambassador

Embassy of Finland in Bangkok is looking for a motivated and skilled team player to join the Embassy as Assistant to the Ambassador. Preferred starting date is 24.6.2026. Application deadline is 6.3.2026

Main tasks and responsibilities

Providing executive and secretarial assistance to the Head of Mission (Ambassador) and the Embassy team. Main tasks include:

  • Managing Ambassador’s calendar, including transport and travel arrangements.
  • Assisting in organizing functions (meetings, lunches, dinners) hosted by the Ambassador.
  • Communicating with relevant stakeholders across the public and private sectors supporting Ambassador’s network.
  • Liaising with Thai authorities regarding protocol, rules and procedures applying to diplomatic missions.
  • Practical arrangements including official visas and permissions of stay for Embassy staff.
  • Thai English translations, unofficial interpreting, drafting of correspondence.
  • Other duties as assigned by the management.

Successful performance of tasks requires flexibility, and ability to adjust to changes is essential, including occasionally working outside office hours. Excellent teamwork and multitasking skills are necessary.

Required qualifications and competencies

Language skills

  • Native-level Thai speaker.
  • Excellent written and spoken proficiency of English.
  • Basic knowledge of Finnish, Swedish or Khmer is a plus.

Education and Experience

  • Higher or post‑secondary degree in a relevant field to the position.
  • Minimum five (5) years of experience in administrative work, preferably as a secretary or a personal assistant
  • Experience from working in a diplomatic mission, international organization or a company.
  • Good understanding of Thai society and relevant stakeholders.
  • Knowledge of Finland or other Nordic countries is a plus

Skills and Competencies

  • Excellent organisational skills.
  • Strong teamwork skills as well as ability to build and maintain networks.
  • Excellent interpersonal and written/verbal communication skills.
  • Accuracy and attention to detail.
  • Strong IT skills – proficiency in Microsoft 365 (Outlook, Word, Excel, Teams).

Terms of employment

The position is locally recruited, and the Assistant will be employed according to regulations for local staff at the Embassy of Finland in line with local Thai labor law and regulations. A personnel security clearance may be obtained for the applicant with his or her consent (Finnish Security Clearance Act 726/2014). The applicant may also be subject to a personal security clearance in the country of employment, for which the Mission will provide further information.

​The position is office-based at the Embassy in Bangkok, and remote work is not available for this role. Please note that the Embassy does not cover travel, relocation or housing expenses associated with taking up this position. 

Contract duration: Fixed-term 2 years, preferred starting date 24.6.2026
Probation period: 4 months
Working time:  36,25 h per week with flexible working hours
